eSSENTIAL is looking for a Contracts Administrator and Executive Assistant who will be reporting to the senior leadership team, including the Director, HR & Operations.


The Contracts Administrator and Executive Assistant will be responsible for drafting, negotiating and managing contracts, and provide support to the executive team at eSSENTIAL Accessibility. Duties include but are not limited to:


  • Create, develop and maintain contract templates, approved responses and standard procedures to routine contacts
  • Review customer agreements, form and non-form Non-Disclosure Agreements and other similar type agreements based on assessment of whether terms are acceptable under company policies
  • Review and draft responses to bids, RFQ, RFP or other similar type documents
  • Prepare correspondence, documentation, or presentation materials
  • Assist with the development, implementation, and monitoring of policies and procedures
  • Interacts with management team and assists with ongoing projects and tasks
  • Schedule meetings and travel arrangements for senior members of the company
  • Creates agendas and takes meeting notes
  • Provide assistance to other departments with administrative or clerical support
  • Responsible for handling various tasks simultaneously and managing assigned projects to completion
  • Enter client invoices, after proper approval received from Account Managers;
  • Reconcile bank statements and credit card statements in a timely manner;
  • Managing cash flow, make payment to vendors;
  • Respond to customer queries;
  • Manage customer and vendor credits;
  • Manage customer payments;
  • Follow up with customers via phone and email on outstanding customer invoices;
  • Aid in preparation and filing of quarterly HST returns;
  • General journal entries (i.e., depreciation, lease payments, SaaS revenue);
  • Process Bi-weekly payroll
  • Track employee sick and vacation days
  • Management of employee benefits plan including adding/removing employees
  • Provides assistance with Project Management

Experience and Skills

    • Excellent English verbal and written communication skills
    • Detail-oriented, organized, and resourceful with excellent follow-through skills
    • At least 3 years of experience drafting, negotiating and managing contracts and commercial transactions
    • Working knowledge of legal terminology and principles an asset
    • Ability to quickly understand business objective of an agreement, to identify and communicate legal issues and solutions clearly and concisely, and facilitate a risk/benefit analysis
    • Must be able to work with highly confidential and sensitive documents and information and maintain such confidentiality to protect eSSENTIAL Accessibility
  • Business-oriented approach to problem-solving, tempered by an appreciation for legal complexity and risk
  • Services / SaaS contract model experience preferred
  • Salesforce CRM experience an asset
  • Advanced Microsoft Office 365: Word, Excel, PowerPoint, Box, and PDF Editors.
  • QuickBooks Online experience an asset
  • Must be able to interact effectively at all levels and divisions of the company
  • Experience supporting upper management is a strong asset
  • Ability to work well under pressure, prioritizes and manages workload, manage simultaneous tasks and meet deadlines within a changing, fast-paced environment
  • Ability to work independently
